Property Maintenance Services for Landlords

Repairs handled. Residents answered. You informed.

KEILTY coordinates every repair, inspection and emergency at your Ontario rental: vetted and insured trades, costs you approve before work starts, a live-answered line your residents can call at 3 a.m., and a photo of the finished job on your monthly statement. It is part of every Full Service management agreement, not an add-on.

How a repair actually gets handled

The same five steps for a dripping tap and a burst pipe. The only thing that changes is how fast the clock runs.

01

The request comes in

Residents submit through the portal, by email or by phone. Routine requests are acknowledged within one business day. After hours, the emergency line is answered by a live person, not voicemail.

02

We triage it

No heat, no water, a flood, a lockout, an electrical hazard or an alarm is an emergency and a trade is dispatched within one hour, 24/7. Everything else is scheduled within five business days.

03

Priced, then approved

A vetted trade quotes before work starts. Anything within your $1,000 operating float proceeds. Anything above it waits for your written approval, except an emergency, where we act first and call you right after.

04

Done and documented

The trade is let in on proper notice, the work is checked, and before-and-after photos are filed against your property with the invoice.

05

Paid from trust, on your statement

The invoice is paid from your trust account and appears on your monthly statement with the photos, so you never chase a receipt or wonder what a line item was.

What maintenance costs you

One coordination fee on work we arrange, published here and on every Full Service page. The trade's invoice is passed through as billed. Nothing is hidden inside it.

Maintenance coordination

10% of the trade's invoice

Charged on maintenance and repair work we coordinate, including emergencies. It covers the 24/7 line, dispatch, access, follow-up, photo documentation and payment. A worked example:

A furnace repair in January, Kingston
HVAC trade's invoice$400.00
KEILTY coordination, 10%$40.00
Your total$440.00

Plus HST on the fee. The resident had heat again the same night and you read about it on your statement.

Operating float

$1,000 minimum, your money

Not a fee. You hold the greater of $1,000 or one month's operating expenses in the trust account so a repair gets paid the day it is done. It stays your money, and it sets your approval threshold: below it we proceed, above it we ask, except in an emergency.

Full Service management itself is a flat $149 + HST per unit per month for a house or condo, and a percentage of rent for student houses and apartment buildings. Every fee schedule is published on its page.

1 hr

Emergency trade dispatched within one hour, 24 hours a day, 7 days a week.

1 day

Routine requests acknowledged within one business day, and you hear the same day you call us.

5 days

Non-urgent work scheduled with a trade within five business days of the request.

1 / yr

A documented annual inspection with photos, on top of move-in and move-out inspections.

Why a coordination fee at all? Because answering the phone at 2 a.m., finding a plumber who will come, letting them in on proper notice, checking the work and paying the bill is real work, and a flat $149 management fee cannot absorb it on a month with three repairs. Charging it only when work happens keeps the base fee low for the eleven months when nothing breaks.

Vetted trades, not whoever answers first

The difference between a manager and a phone book is who they send, what they pay, and whether anyone checks the work. Here is our standard.

Insured and WSIB-covered

Every trade on our list carries liability insurance and a current WSIB clearance certificate before they set foot in your property. If a worker is hurt on your stairs, that is why it matters.

Priced in advance

Trades quote before work starts, and we know what a hot water tank, a service call or a lock change should cost in your market. A quote that is out of line gets a second quote.

Proper notice of entry

Residents get written notice at least 24 hours ahead, with the reason and a time window, as the Residential Tenancies Act requires. Emergencies are the exception, and we document those too.

An emergency bench that answers

Plumbers, HVAC, electricians, locksmiths and restoration contractors who take our call on a holiday weekend because we send them steady work the rest of the year.

A seasonal calendar

Furnace service and filters, eavestroughs, outdoor taps and hoses, sump pump, smoke and carbon monoxide alarms, and winterizing. Scheduled, not remembered.

Have a trade you trust?

Keep them. Once they meet the insurance and WSIB standard, we add them to your property's list and call them first.

What counts as an emergency

Anything that threatens the resident's safety, the building, or a vital service. We act on these first and tell you after.

  • No heat during the heating season, or no air conditioning where the lease provides it in a heat warning
  • No water, no hot water, or a sewer backup
  • An active leak, flood or burst pipe
  • No electricity, a sparking outlet or a burning smell
  • A gas smell, or a smoke or carbon monoxide alarm sounding
  • A resident locked out, or a door or window that will not secure
  • A refrigerator failure, where the appliance is supplied under the lease
  • Fire, break-in or storm damage

What the annual inspection covers

Once a year, on notice, with photos. It catches the $200 problem before it becomes the $5,000 one.

  • Smoke and carbon monoxide alarms tested, batteries replaced
  • Furnace, water heater and filters checked, service dates recorded
  • Plumbing under every sink, around every toilet and at the water heater
  • Caulking, grout and exhaust fans in kitchen and bathrooms
  • Roof, eavestroughs, grading and foundation from the ground
  • Windows, doors, locks and weatherstripping
  • General condition and cleanliness, lease compliance, unauthorized occupants or pets
  • A written report with photos to you, with any recommended work priced

Under section 20 of the Residential Tenancies Act, the landlord is responsible for keeping a rental in good repair and fit for habitation, whether or not the resident knew about a problem when they moved in. Our inspection and emergency standards exist to keep you on the right side of that section, and of the Landlord and Tenant Board.

Frequently asked questions

Rental property maintenance, answered

The questions Ontario landlords ask us most about repairs, emergencies and inspections, with the same answers you would get on the phone.

What does KEILTY charge for property maintenance?

A coordination fee of 10% of the trade's invoice, plus HST on the fee, on work we arrange. A $400 furnace repair costs you $440. The 24/7 emergency line, dispatch, annual inspection, move-in and move-out inspections and vendor vetting are included in Full Service management at no extra charge.

Do you mark up contractor invoices?

No. The trade's invoice is passed through as billed and shown on your statement. The 10% coordination fee is the only amount KEILTY adds, and it is listed separately so you can see both.

Who approves a repair?

You do, for anything above the $1,000 operating float you hold in trust. Work within the float proceeds without a call so small jobs are not delayed. Emergencies, such as no heat or an active leak, are handled first and reported to you right after, because the Residential Tenancies Act puts the repair obligation on the landlord regardless.

What happens when a resident calls at 2 a.m.?

The after-hours emergency line is answered by a live person who reaches our on-call manager. A true emergency, like a burst pipe, no heat, a lockout or an alarm, has a trade dispatched within one hour, 24 hours a day. A non-emergency is logged and acknowledged within one business day.

Can I keep using my own contractor?

Yes. Once they show liability insurance and a current WSIB clearance certificate, we add them to your property's list and call them first. If they stop answering on a holiday weekend, our bench steps in.

How often do you inspect my property?

Once a year on proper notice, with a photo report and any recommended work priced, plus a photo inspection at every move-in and move-out. Residents receive at least 24 hours written notice of entry, as the Residential Tenancies Act requires, except in an emergency.

Can I hire KEILTY for maintenance only?

Not at the moment. Maintenance coordination is part of Full Service management, which is a flat monthly fee for a house or condo and a percentage of rent for student houses and apartment buildings. The lease-up mandate is our only short-term product, and it ends 14 days after move-in.

How do I get started?

Complete our agreement details form and we will prepare your management agreement for review and electronic signature. If you would like a rent range and a written quote first, request a free rent estimate.

Happy to handle repairs yourself, but need a resident?

Our lease-up mandate is a short-term management agreement: we price the property, market it, screen every applicant, send the lease for signature, and stay on for 14 days after move-in. Then the agreement ends and the property, and its maintenance, is yours.
