Sample owner reports

See what you'd get every month.

Before you sign with any manager, ask to see the statement. This is ours: the monthly owner statement, the inspection report and the rental evaluation every KEILTY Full Service owner receives, built on a fictional Kingston house so you can read every line. Owners tell us they want to hear what is happening without having to ask. This is what that looks like on paper.

What is in the pack

Three documents, each the real template with fictional numbers. Together they are most of what you will ever see from us about your property.

01

Monthly Owner Statement

Five pages: a one-page summary from your property manager, the cash flow statement, every transaction in a ledger with its invoice reference, tenancy and deposits, maintenance and work orders with what needs your decision and by when, a year-to-date summary grouped by the CRA's T776 lines, and what is coming up.

02

Inspection Report

The annual photo inspection, room by room, with condition ratings, the items we fixed, the items that need a decision, and the before-and-after record that protects you at move-out. Move-in and move-out inspections use the same format.

03

Rental Evaluation

The written estimate you receive within 24 hours of your first call: a realistic rent range from current comparables, a furnished and unfurnished comparison where it applies, recommended pricing and timing, and the management quote in writing.

How to read a statement in five minutes

The statement is written so an owner who never looks at the ledger still knows exactly where things stand. Here is the order it is built in.

  1. At a glanceOccupancy, rent charged and collected, arrears, expenses, your draw and the date it was sent, the reserve, the deposit held in trust, open work orders and the next scheduled event. If you read nothing else, you have the picture.
  2. Summary from your property managerWhat happened this month, in plain sentences, with anything that needs your decision in bold and dated. In the sample, a soft deck tread found at inspection needs a yes or no by 2026-10-10.
  3. Cash flow and the ledgerOpening balance, rent in, each expense out, draw paid, closing balance, and a check line confirming the closing balance agrees to the trust bank reconciliation. Every transaction has a reference you can click in the portal to see the invoice.
  4. Tenancy, deposits, maintenanceWho the resident is, the term, the rent, the payment history, the deposit and the interest Ontario requires on it, and every work order with its status and cost.
  5. Year to date, by T776 lineGross rents, management fees, repairs and the rest, grouped the way the CRA's rental statement asks for them, so your accountant uses the numbers directly.
  6. Coming upThe dated list of what happens next and who acts: your decision, our winterizing, the next notice deadline. Nothing waits for you to ask.

Frequently asked questions

Sample reports, answered

What owners ask about the statement, the inspection report and the evaluation before they sign.

Is this a real owner statement?

It is the real template, with a fictional property, owner, resident, vendors and figures so nothing about a client is shown. Every section, column and check line is what a KEILTY Full Service owner receives each month.

When does the statement arrive, and when do I get paid?

Your draw is sent by EFT each month and the statement follows once the month is closed and the trust account is reconciled to the bank, normally in the first week of the following month. Every statement and invoice stays in your owner portal.

What is the year-to-date tax summary for?

It groups the year's rent and expenses by the lines of the CRA's form T776, Statement of Real Estate Rentals, so your accountant can use the numbers directly. Property tax, your insurance and mortgage interest are paid by you and are not in it; everything we paid on your behalf is.

Why show the sample for free?

Because the statement is the product. Owners rank communication and responsiveness as the first thing they judge a manager on, and a monthly report that answers the questions before you ask them is most of what good communication is. If you compare ours with what you receive now and prefer yours, you should stay where you are.

Do I get a report for every property?

Yes, one statement per property, and a combined view in the portal if you own several. Co-owners can each receive the same statement, which is how we report to estates and family-owned properties.

What about the inspection report?

The annual inspection is a room-by-room photo report with condition notes, the items we fixed and the items that need your decision. Move-in and move-out inspections use the same format, and together they are the record that settles any dispute about condition at the end of a tenancy.

Is the rental evaluation in the pack the same one I would receive?

Yes. It is the written estimate that follows your first call within 24 hours: the rent range from current comparables, a furnished comparison where it applies, recommended pricing and listing timing, and the management quote in writing.

I would rather just talk to someone.

Call 613-545-3322 in business hours and A.J. Keilty or your property manager will walk you through the sample over the phone, or request a free rent estimate and he will call you within 20 minutes.

Compare it with the statement you get now
