Can You Use a Virtual Office Address for Your Ontario Business?

Yes, you can use a virtual office address in Kingston as your business address in Ontario, as long as it is a real street address where someone receives your mail, and you understand what it can and cannot do. An Ontario corporation's registered office has to be a location in Ontario, so a street address is the safe choice over a post office box, and Google does not accept a mailing-only address for a Business Profile. This post walks through where a virtual office address works, where it does not, and what to check before you put one on your registration, your invoices and your website.

What is a virtual office address?

A virtual office is a business address at a staffed commercial location, without a desk or office attached. The operator receives your mail and deliveries, tells you when something arrives, and holds it for pick-up or forwards it. Some plans add mail scanning and a few hours of meeting room time each month.

Can an Ontario corporation use a virtual office as its registered office?

The rule starts in the Business Corporations Act. Subsection 14 (1) says a corporation "shall at all times have a registered office in Ontario at the location specified in its articles", or in a later resolution changing it. We read that consolidation on 2026-09-30, in the version current to 2026-09-25.

Three practical points follow from that wording.

• It must be in Ontario. A Kingston street address satisfies that.
• It must be a location. A post office box is a mailbox, not a location. The CLEO guidance for Ontario non-profits, written for corporations under the separate Not-for-Profit Corporations Act, 2010, says a P.O. Box address is not considered a valid address, and the same logic is why a business address provider gives you a street address and suite number rather than a box number.
• It must be kept current. A corporation can move its registered office within the same municipality by a directors' resolution under subsection 14 (3), and to another municipality in Ontario by special resolution under subsection 14 (4).

Before you name any third-party address as your registered office, confirm with the provider in writing that you are allowed to, and that they will receive legal documents on your behalf and pass them on promptly. The registered office is the address the province and others use to reach your corporation, so it has to work every day. Your lawyer or accountant can confirm the right approach for your corporation.

How fast do you have to report an address change?

Under subsection 4 (1) of the Corporations Information Act, a corporation must file a notice of change for every change in the information it has filed, "within 15 days after the day the change takes place." The Ontario government's Ontario Business Registry page repeats the same point: you must report any changes within 15 days.

So if you are moving your registered office to a virtual office address, or moving it out of one, put the filing on the calendar for the day the move takes effect. The same applies when a virtual office provider changes its own address: ask how much notice they will give you, so you have time to file.

Why do home-based businesses use a business address?

One reason is privacy. The Ontario Business Registry page says that most of the information filed with the registry, such as registered office or other address information, "will be placed on the public record and is publicly available for searches under the business statutes." If your registered office or business address is your home, that address can be found by anyone who searches your company.

A business address keeps your home address out of your registered office and business address filings, and off your invoices, your website, your letterhead and your email signature. It also gives clients and suppliers a commercial address to send cheques, contracts and parcels to, with someone there to sign for them during business hours. Other filings, such as directors' addresses, follow their own rules, so ask your accountant or lawyer what else goes on the record.

Can you use a virtual office address for a Google Business Profile?

Not on its own. Google's Business Profile guidelines say that if your business rents a physical mailing address but does not operate out of that location, that location is not eligible for a Business Profile. The same guidelines say a business cannot list an office at a coworking space unless that office has clear signage, receives customers during business hours and is staffed during business hours by your own staff.

In practice that gives you three choices:

• List your business as a service-area business with no public address, if you serve clients at their locations.
• Keep your Google listing at the place where you actually work and see clients.
• Take a private office that your team staffs during business hours, which can support a listing at that address if you meet the rest of Google's rules.

What should you check before choosing a business address provider?

Ask every provider these questions, and get the answers in writing.

• Is it a street address with a suite number? It should be a real commercial address, not a box.
• Who receives the mail, and when? Ask for the staffed hours and how parcels and signature items are handled.
• How will you know mail has arrived? Email notification, scanning, or both.
• Can you use it as a registered office? Ask whether the plan covers registered office use as well as mail. • What happens to your mail if you leave? Ask how long mail is held or forwarded after the agreement ends.

• Is there somewhere to meet clients? A meeting room at the same address is useful when a client wants to visit.

When is a virtual office the wrong answer?

A virtual office is an address and a mail service. It is not a workplace. It is the wrong fit if:

• You need to see clients in person every week. A furnished office or an hourly meeting room will serve you better.
• Your industry or licensing body requires a staffed place of business where records are kept. Check your own regulator's rules first.
• You want a Google Business Profile at that address and will not be staffing it.
